AIR TRAVEL INSTRUCTIONS

Attendees will travel to Omaha, Nebraska and will make arrangements to fly to the Omaha Eppley Airfield (OMA).  The Hilton Omaha hotel is located 3 miles from the Omaha airport.  

Deadline to complete a TAD travel request is 30 June 2026.

CONUS AIR TRAVEL​​​​​​​

Attendees may arrive anytime on Monday, 24 August 2026 for the Conference that starts at 7 am on Tuesday.

Return flight arrangements should be made for departure on Friday, 28 August 2026 on flights departing after 1:00 pm (13:00) as the program agenda will end at 10:30 am (10:30) on Friday, 28 August 2026.

OCONUS AIR TRAVEL

Attendees may arrive no earlier than Sunday, 23 August 2026.

​Return flight arrangements should be made for departure on Friday, 28 August 2026 on flights departing after 1:00 pm (13:00) as the program agenda will end at 10:30 am (10:30) on Friday, 28 August 2026.

TRAVEL PROCEDURES

All attendees will book their own travel through NAF Travel Office. Please view the instructions below. We will review travel arrangements and will reserve additional hotel nights accordingly to coincide with travel arrangements.

After completing your Air Travel arrangements, please EMAIL your FULL Itinerary (including ticket cost) to the Jimi Willis - jimi@xcelevents.us. Include your Name, Service and Store Name in the file name. Suggested file name: MCX_StoreName_LastName_Firstname_itineraryME3.

TRAVELING BY AUTOMOBILE / NOT AIR TRAVEL

Attendees who are driving (not flying) to ME3 must must still complete a travel authorization in order to obtain the per diem funds.

HOW TO MAKE YOUR AIRLINE RESERVATIONS

Associates must be on the approved MCX Store Allocation list in order to book flights. Please book your flights according to the CONUS/OCONUS schedule above.

Air Travel will need to be facilitated by each command via their NAF Travel Office.

Please follow your store's SOP/travel procedures for booking Airline travel. These instructions should be attached to your travel request.

All airline tickets should be booked using the lowest price ticket, which may be non refundable. Booking a non refundable ticket is often cheaper, however, penalties and change fees are charged for ANY changes made to that ticket. In addition, the ticket cannot be transferred from one traveler to another.

Associates will need to facilitate their travel voucher for any advances and upon Mission Complete status.

HOTEL 

The event will host a room for 4 nights (Monday - Friday) for CONUS (5 nights for OCONUS, Sunday - Friday). Your hotel stay will be booked for you - please do not contact the hotel to book a room. The hotel room will be prepaid for you. You will need to use your travel card for any incidentals. A hotel confirmation will be sent to you in mid-August.  

All travel arrangements will be reviewed and additional hotel nights will be reserved to coincide with travel arrangements.
Attendees must complete travel TAD request by 30 June 2026.

GROUND TRANSPORTATION

Also, please do NOT book a car rental. Airport shuttle ground transportation will be arranged from/to the airport.

Local attendees who will be driving to the conference should indicate this on their registration or email jimi@xcelevents.us.


CANCELLATION 

Should you need to cancel your participation in ME3, send an email to jimi@xcelevents.us. Cancellations should be processed by Wednesday, 19 August 2026 to avoid paying a one-night hotel charge. Should you wish to substitute your attendance with a different person, please also send an email to jimi@xcelevents.us to provide the substitute's name and information
