WELCOME EXCHANGE VENDORS

We appreciate your interest in participating in the ME3 Military Exchange Electronics Expo Virtual Conference, the week of August 23-27,2021.

The ME3 Military Exchange Electronics Expo Webinar is designed to promote product knowledge and provide quality training to AAFES/NEX/MCX/CGX Exchange associates.  In lieu of an in-person conference for 2021, the Exchanges will be conducting a Virtual Conference.  Exchange associates from all 4 sister services throughout CONUS & OCONUS will view the conference live from their home Exchange the week of August 23-27, 2021.
 
REGISTRATION
In order to participate in the 2021 ME3 Webinar,
please complete an Online Registration by JULY 2, 2021.  
**Vendor Presentations (slides) are due to the buyers by JULY 8 for their review.**

Vendors who are not on the invitation list may contact Erin Heath at erin@xcelevents.us to request consideration.  All requests must be approved by the Exchange buyer.

VENDOR TRAINING PRESENTER

Training will be conducted  online via PRE-RECORDED video presentations. Exchange attendees will watch all of the virtual presentations on demand during the week of August 23-27, 2021. 
 

Presenter: This is an opportunity for a vendor to conduct a 45, 30 or 15 minute training session video featuring your products that are currently available in the Exchange stock assortment for 2021/2022. Vendors may include presentation slides and/or demonstration video clips, share screens during the filming, and provide other supporting resources (handouts, product specification info, PDF files, etc.) as part of the training video which will be filmed virtually by the AAFES Exchange Digital Media team.

Each vendor will be asked to pre-record their slide presentation with the AAFES Digital Media team between June 15- July 31 from their remote location – vendors do NOT need to travel to a central location in order to conduct their presentation as they will be logging into an online recording platform. Availability of recording dates will be limited and we encourage vendors to lock in dates with us early. Vendors are also welcome to record their presentation on their own and provide the final recording to XcelEvents by July 15 if it needs to be edited for final production. If it does not need to be edited, the deadline can be extended. Please email erin@xcelevents.us for more information.

After the filming and editing are completed, the videos will be posted online in a virtual event platform for all Exchange associates to view on demand during the week of August 23-27, 2021.

 

Each presentation should represent a vendor's merchandise category and product selling information for their products represented across all Military Exchange Services.

COST FOR VENDOR PRESENTER PRICE PACKAGES:

$3,000 = 45 minute Vendor Training video presentation

$2,000 = 30 minute Vendor Training video presentation

$1,000 = 15 minute Vendor Training Video presentation

VENDOR PAYMENTS

Vendor payments will be processed either as CHECK or as INVOICE DEDUCTIONS from your account with the Army & Air Force Exchange Service. Invoice deductions will be processed by September 1, 2021.  

VENDOR VIRTUAL EXHIBIT BOOTH
ON DEMAND

Exhibitor: Vendors may feature their Exchange approved stock assortment products in virtual exhibit booths which may include 1-10 minute product demonstration videos, graphics/logos, supporting handouts/promotional materials, and resource weblinks, all supplied by the vendor (videos will not be filmed by the Exchanges).
 
All Exchange associates will be required to view all product exhibits during the week of August 23-27, 2021.
 
Vendors will provide all content for the videos including, but not limited to, speaker/trainers, product displays, handouts, slide presentations and any supporting material needed. VIDEOS need to be MP4 formats for a max of 100 MB.

Vendors may provide supportive materials and electronic handouts in PDF formats to accompany the presentation including, but not limited to, handouts and slide presentations. 

COST FOR VENDOR VIRTUAL EXHIBITOR PRICE PACKAGE:

$700 = up to 10 minute of video for a virtual Exhibit booth

VENDOR AGREEMENT

Your agreement to participate in this event will become part of your current retail agreement with Army & Air Force Exchange Service. Your participation allows you to demonstrate your products through a pre-recorded video presentation or an exhibit booth to Exchange associates. In return, the Exchange will provide the logistical support to film and distribute the pre-recorded video presentations as well as the virtual platform for the exhibit booths as outlined on the registration website. Your payment will be used by the Exchange to provide that support, as well as help the Exchange offset the costs for production, editing and distribution of the information to the associates. Your participation is strictly voluntary and will not impact current or future business opportunities with the Exchange.

IMPORTANT REMINDERS FROM THE EXCHANGE TO ALL VENDORS

LOGISTICS FOR THE WEBINAR

Each vendor presentation or exhibit booth content should represent a vendor's merchandise category and product selling information for their products represented across all Military Exchange Services for 2021-2022.
 
Vendor presentation content can include PDF, PowerPoint or other slide presentations, demo/instruction video clips (VIDEOS need to be MP4 and WMV formats - please supply both versions of any video), and Recorded audio (MP3).  Vendors will NOT need to purchase a VOIP headset for use with their computers but you may use one to enhance your sound.  Vendors will need a computer hooked to an internet line.  Internet access should preferably be hard-wired but if WIFI is the only option, it must be a strong signal with consistent high speed bandwidth.
 
Vendors will provide all content for the training including, but not limited to, speakers/trainers, product displays, handouts, slide presentations and any supporting material needed.  Vendors may provide supportive materials and electronic handouts in pdf format to accompany the presentation including, but not limited to, handouts and slide presentations.
 
All sessions will be prerecorded and placed on ME3 virtual event platform for on-demand viewing by the Exchange Associates.

PRODUCT CONTENT

IMPORTANT:  Vendors must limit featured products to those currently in or confirmed to be purchased for the majority of Exchanges across all Sister Services. Failure to abide by this mandate could serious affect future business with Army & Air Force Exchange Service.  If you have any questions regarding specific products, please contact your Exchange buyer directly for approval.
