We cordially invite you to apply for participation in the Vendor Portion of the Exchange’s Military Clothing Store (MCS) Conference to be held 6-10 March 2023 at the Embassy Suites Dallas-Frisco Hotel in Frisco, Texas. The vendor participation portion of the conference will be in 2 parts – Classroom training sessions Tuesday-Wednesday 7-8 March 2023 and Exhibit Booth product demonstrations Wednesday -Thursday 8-9 March 2023. You have been invited to apply for either a classroom training session OR an exhibit booth.

This conference will focus on the Exchange’s corporate strategies for 2023 and promote knowledge of our vendor partners’ product assortments. The conference will be attended by 175+ Exchange Military Clothing Store Managers from throughout the United States, Europe and Pacific, as well as corporate executives and senior buyers.

Early registrations are encouraged.  Deadline for registrations: 31 January 2023, however space may sell out before this date, so we encourage you to register early. Presenter rooms & exhibit booth # assignments will be made based on 1st registered, 1st assigned. Payments are NOT due until 28 February 2023.
 
Your agreement to participate in this event will become part of your current retail agreement with the Exchange and allows you to demonstrate your products and provide training to Exchange managers. In return, the Exchange will provide the logistical support outlined in this letter. Your payment will be used by the Exchange to provide that support, as well as help the Exchange offset the cost of this event. Your participation is strictly voluntary and will not impact current or future business opportunities with the Exchange.

This is an opportunity to conduct 45 minute training classes in a private meeting room on your products that are currently in the Exchange stock assortment on Tuesday, 7 March through mid afternoon of Wednesday, 8 March.
 
All 175+ Exchange MCS Managers will attend each presentation through rotations in small groups.

PRESENTATION TRAINING PACKAGE SCHEDULE **REVISED**

Set Up                                   

  • Monday, 6 March 12:00 PM – 7:00 PM
  • Tuesday, 7 March 8:00 AM - 5:00 PM
  • Vendors may set up anytime during this period. It is not required to arrive on Monday.

Classes Open                  

  • Wednesday, 8 March 7:45 AM – 5:45 PM 
Tear Down  
  • Wednesday, 8 March 5:45 PM – 9:00 PM
  • Thursday, 9 March 7:00 AM - 10:00 AM

Training Packages Include:

  • A private meeting room for your exclusive presentation on your industry/merchandise category selling information and exhibition of your products to the Exchange MCS managers. 
  • Registration and meals for up to four (4) individuals; including breakfast & lunch on Tuesday and Wednesday. 
  • Tables for presenter’s displays and tables/chairs for classroom seating plus 1 extension cord & powerstrip.
**Note: Training packages do NOT include booths in the Expo nor AV equipment in the training room. Discounted AV equipment rental pricing will be available in early January.
 
COST:  $12,900 Per Presenter Training Package

exhibit BOOTH PACKAGEs

This is an opportunity to be an Exhibitor. As an Exhibitor you will conduct product demonstrations and presentations for your products during the conference on Wednesday, 8 March & Thursday, 9 March for 15 minute rotations to each Exhibit Booth.

All 175+ Exchange MCS Managers will visit every booth through rotations in small groups on a timed schedule. 
  

15 MINUTE EXHIBIT BOOTH PACKAGE includes:
 

  • Size is 10’x10’ pipe & draped space (8’ high Back drape, 8’ high side rails) 
  • (6) plastic-contour chairs, (1) 6’ skirted table, (1) wastebasket -- this is in order to provide seating Exchange Teams to sit during presentations. 
  • A two-line ID sign showing Exhibitor’s company name and booth number 
  • Company name listed in the attendee materials 
  • Registration and meals for up to two (2) individuals. See the ‘Meals’ section for details regarding included meals.
  • Exchange MCS Managers will attend your booth for a 15 minute visit during the Expo booth rotations according to an assigned schedule.
COST:  $5,200 for each 15 minute Expo Booth

BOOTH LOCATION ASSIGNMENTS

Booth locations will be assigned on a first come, first served basis by the MCS Conference.  Please note any requests for positions next to other vendors on the Special Instructions section of the registration form.

ADDITIONAL EQUIPMENT

Expo booths do NOT include electricity nor AV equipment.  If you require additional equipment for booths, this can be ordered through the official Expo service contractor for an additional fee. Detailed order forms and information will be provided in your Exhibitor Services Kit including but not limited to additional rules and regulations, official service contractor order forms, shipping, warehousing, and drayage, Audio Visual, utilities and building services, setting up and dismantling, etc.
 

SHARED Vendor Packages

Vendors are permitted to share any of the packages offered between 2-3 companies. When sharing a package, please name which companies will be included and how payment will be divided. If each company requires a separate invoice, please register each as a separate booth and email erin@xcelevents.us to request let us know they are sharing & how to split the cost so we can adjust the invoice amounts accordingly.
 
All companies participating as vendors, whether in a shared capacity or on their own, must be pre-approved for participation by the assigned Exchange Buyer. See the Vendor Invitation List for pre-approval.
